FAQ
Questions we get asked
Straight answers, including about the things TranspoX deliberately does not do. If yours is not here, ask us.
Getting started
What it is and who it suits.
What is a transport management system, and is TranspoX one?
A transport management system is what a transport business runs its movements on: the bookings it takes, the documents those produce, where each load has reached, and who has paid. TranspoX is one, built for Indian booking offices and brokers specifically — so it knows what a builty is, what an e-way bill expires after, and which broker is holding a POD. It is not a fleet-tracking box, not an accounting package, and not a load marketplace.
What does TranspoX actually do?
It records the work a transport office or broker does every day: bookings, consignment notes (LR/builty), challans, loading slips, freight bills, warehouse in and out, party and truck-owner ledgers, and who still owes what. Everything is in one place, so a booking you create becomes the LR you print and the balance you chase.
Is it for booking offices or for brokers?
Both, and the app changes shape to suit. A booking office manages parties and brokers, gets warehouse tracking, and bills its customers. A broker workspace manages truck owners, vehicles and drivers, and settles with them. If you do both, you can switch between the two sides.
Do I need to install anything?
No. It runs in a browser on a desktop, and as an app on Android and iOS. The same account works everywhere.
How do I log in? Do I need a password?
You sign in with your mobile number and a one-time password the first time, then set a four-digit PIN for everyday use. There is no email password to forget.
Can I try it on real work before paying?
Yes. The Free plan covers 25 bookings a month with 2 staff and 1 branch, and never expires. Document generation is the one thing it does not include — see the pricing page.
Documents and compliance
The part worth reading twice.
Does TranspoX generate e-way bills?
No. You generate the e-way bill on the government portal, and record its number against the consignment in TranspoX so it prints on your documents and stays searchable. We do not connect to the GST portal and we do not file anything for you.
Does it file my GST returns?
No. It keeps your freight and tax figures in order and produces a finance report your CA can work from, including a period-wise summary. Filing remains between you and your accountant.
Can I print on my own letterhead, with my own format?
Yes. Your business details, logo, bank details and the liability lines print on every document, and you choose a layout per document type from the templates in Settings. You can preview each one with your own details before selecting it.
Whose documents are they, legally?
Yours. TranspoX renders what you enter — we do not verify the contents, and we are not a carrier or a party to your contract of carriage. Accuracy and statutory compliance stay with your business. This is set out in clauses 2 and 3 of the Terms.
What is the QR code on my LR for?
Scanning it in the app opens that consignment directly — useful at a counter or a warehouse gate when someone hands you a printed copy. It carries a document reference, not your customer’s data, so a stranger scanning it with an ordinary phone camera learns nothing.
The AI
What it does, what it costs, and what it is not allowed to do.
What does the AI actually do?
It removes typing. Photograph a party invoice or an e-way bill and the booking form comes back filled. Dictate a load aloud — Nagpur se Raipur, 12 ton steel, bees hazaar bhada — and get a draft booking. Send a photo of a signed POD and it reads the date, the receiver and the LR number. Every morning it drafts reminders for overdue parties and a short briefing of the day. And you can ask it for a figure in the app or on WhatsApp. The full list is on the AI page.
Can it create a booking or mark a delivery by itself?
No. Everything it produces is a draft. A scanned invoice fills the form and waits for you to save. A POD photo proposes “mark delivered” and waits. A payment reminder is written and waits for you to send it from your own WhatsApp — TranspoX never messages your customers. Staff, roles and billing are outside its reach entirely.
What is an AI credit?
One AI answer, or one scanned page. Credits come with your plan — 20 a month on Free, 200 on Starter, 750 on Pro — are shared across your whole organisation, and reset on the 1st. Questions our own rules can answer are free, so is the morning briefing and so are the drafted reminders, and anything that fails is refunded. When they run out the AI says so and the rest of the software carries on unchanged.
How accurate is the scanner?
It tells you where it is unsure rather than pretending. GSTINs are verified against the official check digit, e-way bill numbers and lorry numbers against their real formats, and dates are read day-first the way Indian paperwork writes them. Anything that fails a check is listed at the top of the draft. Treat it as a fast typist whose work you glance over, not as a replacement for looking.
Can we turn the AI off?
It is off until you turn it on — a new organisation starts with it disabled, and the owner switches it on. The owner can also cap how many credits each member of staff may use in a month, and switch the whole thing back off at any time.
Which AI company is behind it?
One provider is active for every AI job at a time, chosen by us, and it is only changed after a readiness check passes. There is no silent fallback to a second one: if the active provider is unavailable, the AI features pause and everything else in TranspoX keeps working normally.
Connecting it to what you already use
What it talks to, and what it deliberately does not.
Does it work with Tally?
Not as a direct connection, and we would rather say so than imply one. What you get is a finance report you can export as a CSV — party by party, truck owner by truck owner, month by month, on either an accrual or a cash basis — which your accountant carries into your books at the end of the period. TranspoX is where the movement lives; Tally stays where your accounts live.
Can it use the GPS we already have in our lorries?
Yes, and you do not have to change provider. Your tracking provider posts positions to TranspoX against a key issued to your organisation, and those positions show up on the live map against the booked route, with a projected delivery date. The key is yours to revoke, so ending it with a provider does not disturb anybody’s login.
Does it connect to the GST or e-way bill portal?
No, and this is deliberate. You generate the e-way bill on the government portal and record its number against the consignment, where it prints on your documents, gets checked for the right format, and raises a warning before it expires in transit. We do not file anything on your behalf and we do not hold your portal credentials.
How do documents reach a party or a driver?
Download the PDF, or send a link straight from the phone — usually on WhatsApp. The link is signed and expires, so a document that has done its job stops being a document sitting in somebody’s chat forever. Every printed copy also carries a QR that opens that consignment in the app.
Is there an API?
The position-ingestion endpoint your tracking provider posts to is open to you today. A wider API is not published yet — if you need to push bookings in from another system, tell us what you are connecting and we will tell you honestly whether it is possible now or not.
Money and billing
What you pay, and what you get on paper.
What does it cost?
Free, Starter at ₹499 a month, or Pro at ₹1,499 a month, per organisation rather than per user. GST is charged on top at the applicable rate.
Will I get a GST invoice?
Yes — a tax invoice is issued for every payment, with your GSTIN on it if you have added one to your profile.
How do I pay, and is my card safe?
Payments go through our payment gateway, which handles the card, UPI or net-banking details directly. Those details never reach our servers and we cannot see them.
What happens if a payment fails?
We tell you, and there is time to fix it. If it stays unpaid the account goes read-only — you can still open and export every record, you just cannot create new ones until it is cleared. We do not lock you out of your own delivery history.
Can I cancel?
Any time. You keep access until the end of the period you have paid for. Part-period fees are not refunded — see clause 6 of the Terms.
Your data
Who can see what, and what happens if you leave.
Who can see my bookings and ledgers?
Only the staff you invite, and only what you allow them. Every screen and action is governed by a permission, and staff can be limited to particular branches. Money figures and broker margins can be hidden from staff who should not see them.
Can TranspoX staff see my data?
Access is restricted to the people who support the product, and every view of a customer’s record is logged — reads as well as changes. We do not use your business records for anything other than running the service for you.
Where is my data stored?
On servers in India. Details of the providers involved are in the Privacy Policy.
Can I get my data out?
Yes, at any time, while your account is active and for 90 days after it ends. Your records are yours; we claim no ownership of them.
Does anything go to an AI company?
Only what a feature needs, only when you use it, and only while AI is switched on for your organisation. Scanning an invoice sends that image. Dictating a booking sends that sentence. Asking a question sends the wording of the question. Reading a POD sends that photograph. What is never sent is your database: your ledgers, your party list and your figures stay here, and answers are produced by our own software querying your records. Where AI is asked to word a message, it is handed a finished draft to rephrase and never shown the records behind it — and if a figure comes back that is not in your data, the plain wording goes out instead. AI is off until the owner turns it on, and can be turned off again at any time.
What if I want everything deleted?
Ask us and we will delete it, except for invoices and tax records that Indian law requires us to keep for six years. We cannot destroy those earlier, and no software vendor can.
Day to day
Questions that come up once you are running on it.
Does it work without internet?
No — it needs a connection, because your staff across branches are looking at the same records at the same time. It is built to stay usable on a slow mobile connection.
Can I use it in Hindi?
Yes. The assistant understands English, Hindi and Hinglish, so you can type or say kitna bakaya hai or कितना बकाया है and get an answer — on WhatsApp too. You can dictate a booking in Hinglish, and payment reminders go out in the language you set for that customer. The interface itself is translated for the counter path — signing in, the bookings list, the booking form, documents and your profile — using the words the trade uses (बिल्टी for an LR, गोदाम for a warehouse). The remaining settings and reports screens are still in English.
Can I run more than one branch?
Yes, on the paid plans. Staff can be assigned to particular branches and will then see only their own branch’s work, while owners and managers see everything.
What happens to my numbering if I switch mid-year?
You choose where your consignment note and bill numbers start, so you can continue the series you already use rather than restarting from one.
How do I get help?
Write to us from the contact page and we will get back to you. We would rather set the account up with you on a call than leave you reading documentation.
Still deciding?
We will walk through your own routes and parties, and print a consignment note on your letterhead so you can see exactly what your drivers would be carrying.
